KaamDesk ("KaamDesk", "we", "us" or "our") provides workflow software that helps Regional Transport Office (RTO) agents in India manage vehicle-related cases, billing and their team. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website at kaamdesk.com and the KaamDesk application at app.kaamdesk.com (together, the "Service").
By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Who this policy is for
The Service is provided to businesses ("organizations") and the individual users their organization has authorized. Access to KaamDesk is by invitation only — an organization is set up by KaamDesk, and only email addresses that have been explicitly added by that organization can sign in. There is no public self-registration.
2. Information we collect
a. Account information (via Google Sign-In)
KaamDesk uses Google Sign-In to authenticate users. When you sign in with Google, we receive your basic Google profile information: your name, email address and profile photo. We use this only to identify you within your organization and to secure your account. We do not receive your Google password.
b. Case and business data you enter
When you use KaamDesk, you and your team create records to run your work. This may include vehicle registration numbers, case types and stages, RTO details, service charges and government fees, billing information, owner names and contact numbers, comments, and similar operational data. This information is entered by your organization and is stored within your organization's workspace.
c. Usage and device information
Like most web applications, our infrastructure providers may log basic technical information such as browser type, device type, and timestamps for security, reliability and troubleshooting.
3. How we use information
- To provide, operate and secure the Service and your organization's workspace.
- To authenticate users and enforce role-based access (owner, editor, viewer).
- To generate bills, search records and produce the features you use.
- To respond to support requests and troubleshoot issues.
- To maintain the reliability, safety and integrity of the Service.
We do not sell your personal information or your organization's data, and we do not use the case data you enter for advertising.
4. Google API Services / Limited Use
KaamDesk's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only request the minimum Google profile information needed to sign you in, and we do not transfer or use that information except to provide and improve the Service, as required for security, or as required by law.
5. Where your data is stored and how it is protected
Your data is stored in secure cloud infrastructure provided by Google Firebase / Google Cloud, and the Service is hosted on Vercel. Access is controlled: data is scoped to your organization, access is granted only to invited members, and each member's permissions are governed by their role. We rely on industry-standard measures provided by our infrastructure partners, including encryption in transit. No method of transmission or storage is 100% secure, but we work to protect your information using reasonable safeguards.
6. Sharing and sub-processors
We share information only with service providers who help us run the Service, and only to the extent needed. These currently include:
- Google Firebase / Google Cloud — authentication and database/storage.
- Vercel — website and application hosting.
We may also disclose information if required by law, or to protect the rights, safety and security of KaamDesk, our users and the public.
7. Data retention
We retain your organization's data for as long as the account is active or as needed to provide the Service. If your organization stops using KaamDesk, we may retain data for a reasonable period for backup, legal and operational purposes, after which it can be deleted on request.
8. Your choices and rights
Because KaamDesk is provided through organizations, your organization's owner controls who has access and what data is stored. If you would like to access, correct or delete information, or ask a question about your data, please contact your organization owner or reach us at hello@kaamdesk.com. You can also revoke KaamDesk's access to your Google account at any time from your Google Account settings.
9. Children
KaamDesk is a business tool and is not directed to individuals under 18. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Significant changes may be communicated through the Service.
